WP Dienstplan is scheduling software built for volunteer-run sports clubs.

You know how this goes.

You coordinate bar shifts, fixture coverage, ground crew, and coaching rotas. Bar duty, catering, pitch maintenance, youth coaching – all of it lands on you.

The Excel file is pinned on the clubhouse notice board. Cancellations come by WhatsApp at kick-off. Some regulars show up every time. Others simply don’t appear – and nobody says anything, it’s a volunteer club.

On match day, you’re standing with your phone ringing around people. You scramble for a replacement, end up covering the shift yourself. The next home game, you start all over again.

You also need to be sure only the right people take the right roles: qualified coaches, trained youth leaders, certified treasurers. Some renewed their qualifications. Others didn’t. And you’re the only one who knows who can do what.

When the plan doesn’t hold, nothing holds.
Your club needs scheduling that works with volunteer reality.

Where volunteer shift scheduling breaks down.

“The roster says someone’s working. But are they?”

Shifts get cancelled or never confirmed. Match day arrives – you don’t know if the bar will be open or if you’re working it yourself.

“Does this coach actually hold Level 2?”

Who has what qualification lives in your head. You realise someone’s not certified when the youth session is about to start.

“I have no overview of who’s available.”

The spreadsheet is a mess. WhatsApp is chaos. Who can step up in the next four weeks – you can’t tell.

“Half our volunteers forget their shifts.”

Without a reminder, people don’t show. You end up calling, chasing, covering the duty yourself. Or the shift runs short.

Shifts that actually get covered – without your phone.

Your members sign up themselves. You see at a glance whether all shifts are covered. Bar, catering, pitch, coaching – every duty has its place, every commitment is binding.

Members without a youth coaching credential don’t see the coaching shift. Members without treasurer training can’t sign up for the catering duty. Wrong assignments simply can’t happen.

If someone cancels, you see the gap immediately in the dashboard – not on match day. Those who sign up, show up. Qualifications enforced, commitments honoured, no phone tree.

Less chaos. More commitment. Shifts that hold.

You’re not working your shift on match day

Everyone sees their duty, confirms it early. Cancellations arrive days ahead, not an hour before kick-off. You coach, you watch, you enjoy the match.

Only the right people take the right roles

Unqualified members can’t sign up for roles that need certification. No awkward conversations, no last-minute rescues.

You finally see who’s reliable – and who isn’t

Every shift is logged. At the AGM, you have real numbers. Who shows up, who contributes, who’s dependable – documented and fair.

Volunteers remember and arrive

Automatic reminders go out. Cancellations are flagged instantly. Accountability rises – without nagging anyone.

Three situations – before and after.

Match day Saturday – the bar shift is uncovered

Before: Friday you message the group chat: “Who’s on the bar tomorrow?” Silence. Saturday 1:15 PM – no confirmation. You call three people, two don’t answer, one is already committed elsewhere. You work the bar instead of watching the match.
After: You scheduled the bar duty a week ahead. Members sign up themselves. Saturday morning: you see all shifts confirmed in the dashboard. No calls, no scrambling. You watch the game.

New member – first coaching session

Before: A keen new volunteer signs up to coach the juniors next week. You don’t notice they’re not Level 2 certified until training starts. Now you have uncertified coaching happening and an awkward conversation mid-session.
After: The junior coaching slot only appears to members with Level 2 certification. The new member doesn’s profile shows no cert, so they can’t see or sign up for that role. They pick an unqualified duty instead. No error, no conflict.

Annual General Meeting – volunteer stats

Before: Someone asks: “How many shifts did our volunteers cover this year? Who showed up most?” You guess, numbers are vague, no one is satisfied. The AGM moves on without real data.
After: Open WP Dienstplan, pull the year report. Total shift hours, top volunteers, no-show rates, breakdown by role. Real numbers for the AGM. Members see the data is fair and transparent.

Multi-sport clubs and single-sport clubs – different rosters, same mechanics.

LARGE Multi-Sport Clubs

Football, tennis, gymnastics, badminton – all under one roof. Each section has its own coaching and catering needs. Shared bar and kitchen duties.

Qualifications vary by section: Football coaches have one cert, gymnastics coaches another. Treasurer roles are club-wide. Bar staff can work any shift. WP Dienstplan keeps it all separate but coordinated.

SMALL Single-Sport Clubs

One sport, tight community, tight schedule. Usually a smaller member base but same volunteer challenges: who covers the bar, pitch maintenance, fixture admin.

Fewer roles, clearer structure, but higher pressure per volunteer. Everyone needs to step up reliably. WP Dienstplan brings transparency and accountability to smaller teams.

Both need the same mechanic: volunteer shift scheduling with qualifications and reminders. WP Dienstplan scales from 5 volunteers to 500.

Who can do what – stored in the system, not in your head.

Define qualifications. Volunteers only see and can sign up for shifts matching their certification.

Questions from sports clubs like yours.

Does this work for clubs with under 50 volunteers?
Especially then. Small clubs have no backup bench – every dropout hurts. The free version is fully functional with no member limit. The Basis licence adds email notifications, shift swapping, groups and multiple schedules.
How do I manage expired qualifications?
Set an expiry date on each qualification (e.g. “Coach Level 2 valid until 31.12.2027”). When it expires, that member can’t sign up for that role. You get a reminder 30 days before expiry.
Can we schedule special events like club socials and fundraisers?
Yes. Create any shift type you need: “Summer Fete – Setup”, “Fundraiser – Bar”, “Pitch Maintenance Rota”. Each can require qualifications or be open to all. You control it.
Do we need special hosting to run WP Dienstplan?
No. WP Dienstplan is a WordPress plugin. If your club website runs on WordPress already (most do), you’re set. Just install the plugin. No extra server, no separate software.
Where does the member data live?
All member data stays exclusively in your club’s WordPress database – on your server, under your control. No external servers, no cloud services, no data sharing with third parties. Passwords are hashed using the WordPress standard; it’s up to you as operator to enforce sensible password policies and access rights. The GDPR-compliant operation (consent, retention periods, data processing agreement with your host, privacy notice) is your responsibility as the club – WP Dienstplan provides the tool, not the legal framework. The same applies to cultural association rosters and community group schedules.
What’s the cost for our club?
Free and fully functional with no member limit. Basis licence €79 / year, Pro licence €149 / year. See the pricing overview and feature list.
