WP Dienstplan is shift scheduling software built for emergency medical services.

You know how this goes.

You're a station officer, shift coordinator, or area manager in EMS. Ambulance 1, Ambulance 2, patient transport, rapid response – every vehicle needs the right crew. Every day, every night.

The roster is planned quarterly. Then someone calls in sick. So: open the spreadsheet, check the group chat, work through the call list. Who can cover? Who's a paramedic? Who hasn't done nights this week? Follow up three times because nobody replies.

By 5:30 AM you're on the phone trying to crew Ambulance 2 for the early shift. On your own time.

That's not your team failing.
It's the tooling.

Where EMS shift scheduling breaks down.

"Who's covering the night shift?"

Someone calls in sick. You ring six people. Two don't pick up, one isn't qualified, one can't start until 10 PM. In the end, you drive the shift yourself – even though you weren't on the roster.

"The spreadsheet is wrong again."

Three versions floating around. Last week's swap was never entered. Ambulance 2 has an EMT listed who's only cleared for patient transport.

"Who actually holds what qualification?"

Paramedic, EMT, Advanced EMT – the overview lives in the station officer's head. When they're on leave, nobody knows who can crew which vehicle.

"Billing takes me an entire day."

End of month: who worked how many shifts? How many nights? Pulling numbers from spreadsheets, group chats, and emails – error-prone and endless.

Shift scheduling that runs without you driving it.

Every vehicle has its own roster. Open shifts are visible instantly – to everyone with the right qualification. Those who can, sign up. Those who can't, swap directly in the system.

If someone isn't a paramedic, they don't see the ambulance shifts. If they're not a physician, they don't see the rapid response vehicle. You don't have to check – wrong assignments simply can't happen.

If a shift stays open, it's highlighted in the dashboard for qualified staff. They sign up or trade – you check the dashboard, see the gaps – and your team fills them.

The roster holds – even when you're off duty.

No more phone marathon for callouts

Someone drops out – qualified staff see the open shift in the dashboard and sign up or trade in the system. You don't have to call a single person.

Nobody ends up on the wrong vehicle

Qualifications are in the system. If someone's only EMT-level, they won't see the ambulance shifts. No misassignments that only surface on shift day.

Billing reports in five minutes

Who worked how many day and night shifts? Open stats, pick the date range – all figures in the plugin. A solid basis for billing your authority.

Three situations – before and after.

Night shift dropout at 5 PM

Before: The station officer calls eight people. Four don't pick up, two aren't qualified, one can only start at 10 PM. Time spent: 40 minutes. Result: understaffed.
After: The open shift is visible in the dashboard for all qualified paramedics. Within an hour, someone has signed up. The station officer checks the dashboard. Time spent: 2 minutes.

New staff member, wrong assignment

Before: A new EMT is accidentally assigned to the ambulance – the spreadsheet didn't capture their qualification level. The error only surfaces at handover.
After: The ambulance roster requires "Paramedic" qualification. The EMT doesn't even see those shifts in their portal. Wrong assignments are impossible.

Quarterly billing report

Before: The station officer pulls data from three spreadsheets, group chat logs, and handwritten corrections. An entire Saturday gone. Two errors surface at the authority's end.
After: Open stats, pick the quarter: who worked how many shifts, which vehicles, day vs. night – documented in statistics and audit log. Ten minutes in the plugin.

Who can crew which vehicle – stored in the system, not in your head.

Create qualification groups. Shifts automatically open only for staff who hold the right certification. You don't have to check anything yourself.

Questions from the station.

Do you support 12-hour shifts?
Yes. Shift times are fully configurable – the typical 06:00–18:00 and 18:00–06:00 in EMS, as well as 24-hour on-call, split shifts, or any other pattern your station runs.
Can each vehicle have its own roster?
Yes. Each vehicle is set up as its own shift schedule – with its own minimum staffing and qualification requirements. You see at a glance which vehicle still needs crew tonight.
Does qualification checking happen automatically?
Yes. Assign qualifications like Paramedic, EMT, or Critical Care per staff member. If a shift requires a specific qualification, only qualified staff see it. No manual checks, no wrong assignments.
Can we use it for billing reports?
Yes. The Pro license (€149 / year) gives you detailed statistics and a complete audit log in the plugin – a documented basis for billing your county authority or health board. See the pricing overview and feature list.
Where does the data live?
All data lives exclusively in your own WordPress database. No connection to external servers, no US cloud services, no data sharing with third parties. GDPR-compliant operation (consent records, retention periods, data processing agreement with your host) remains the responsibility of your organisation as the controller (Art. 4(7) GDPR). The same architecture is used by crisis response teams and volunteer fire departments.
We have more than 50 staff. Does that work?
Yes, with the Pro license (€149 / year). No limits on staff, shift schedules, or events. Plus attendance statistics and a complete audit log for documentation.
