Filling weekend standby

Before: The duty officer posts in the group chat on Monday evening. By Thursday, nobody's responded. He calls five members, two say yes. Time spent: 45 minutes.

After: The standby shift is in the system. Qualified members get an email. By Wednesday, three have signed up. The duty officer checks the dashboard. Time spent: 2 minutes.

Scheduling an SCBA drill

Before: Who's cleared for breathing apparatus? The list in the binder is from last year. The BA officer asks around one by one. Two members show up who are no longer qualified.

After: The "SCBA Drill" shift is only visible to members with the "BA Wearer" qualification. Those without it don't see it. No manual checking required.

Annual report for the municipality

Before: The station commander spends four hours on a spreadsheet over the holiday break. Attendance lists, drill hours, standby shifts. Deciphering handwritten notes. Adding up numbers.

We only have 15 active members. Is it worth it?

Especially then. The free version is fully functional with no member limit – with shift scheduling, dashboard, and public holidays. For email notifications and shift swapping, add the Basic license (€79 / year). That's less than a training night pizza order.

Can we track SCBA qualifications?

Yes. Create groups – BA Wearer, Pump Operator, Crew Manager, or whatever your department needs. Shifts then automatically open only for qualified members. No checking, no misassignments.

Does it work for the drill schedule too?

Yes. Define as many shifts as you need: weekly drill night, special exercises, courses, SCBA training. Everything appears in the same weekly and monthly view as standby duty.

Our municipality requires GDPR compliance. Is that covered?

All data – members, qualifications, shift schedules – lives exclusively in your own WordPress database. No connection to external servers, no US cloud services, no data sharing with third parties. Under the GDPR, the municipality or fire department is the controller (Art. 4(7) GDPR); drawing up records of processing activities, securing the WordPress installation and obtaining a data processing agreement with your host remain your responsibility. The same applies to shift scheduling for first responders.

The fire authority wants documentation. Can the plugin do that?

Does every member need their own WordPress account?

Yes, each member gets a WordPress user. The upside: everyone sees only their own shifts, can swap themselves, and only receives relevant emails. Setting this up is fast – WordPress supports CSV user import.
